2023 Security Tips: How to Protect your POS Data

With a new year comes new advancements in technology, and one can never be too safe with how their POS data is protected. To help mitigate any potential threats and vulnerabilities to your POS system and hardware during the new year, adopting good habits and systems within your Pharmacy front-line team can go a long way.

Here are some POSitec support team’s tops tips on what to look out for in 2023:

Up-to-date hardware

One of the first things you need to ensure is that your server and desktop is up-to-date. The easiest way to identify if your equipment or software is in need of an upgrade is if the hardware begins to experience performance issues like slowness, crashing, corrupted files, etc.  If you have been unable to replace your equipment or software for more than 5 years, it may be the time to make the investment. That way your POS system will run more efficiently and securely.

Maintaining updates

Once you have your equipment and software installed, make sure that your POS software is updated regularly. It might be tempting to keep pushing updates off, but we guarantee that important updates do add more efficiency to your overall process. Another thing to keep in mind is that your Windows operating system should also be updated as they become available to ensure your business systems are secure.

User log-ins

This might be a tip you hear all the time, but usually an easy or traceable password is an easy way for hackers to bypass security efforts. We recommend you update your POS and computer user log-in passwords every month. Try and create passwords that are a mix of letters, numbers and symbols that you haven’t used before. It is also important to remove and delete old users from the system if employees are no longer with the company and ensure that all your employees log out of their systems at the end of each working day.

Anti-virus software

An easy and effective way to protect your POS data is to install antivirus software. Consider this as another investment as the software is working 24/7 to ensure your company data is secure. Take your time and research a few trusted names when making the choice. Windows offers an antivirus software called Windows Defender which usually comes installed on Windows 10 and 11 computers, but it doesn’t hurt to double check if you have it running in the background.

ALWAYS backup your data

This tip is critical to ensure your data is secure when there is a chance your POS system and software has been compromised or breached. Having several layers of backups acts as a fail-safe in case you need to restore your data and settings from a certain point. It’s similar to continuously saving a working document and will help you in more ways than you can think if something were to go wrong. SecureData from POSitec Solutions offers off-site backup for Finestra and Finestra HC POS for as little as $9.95 per month.
